Which data we process and why
The request form. When you fill in the form, we process your name, your email address, your phone number and, if you provide them, your company name, your website and your question. We use this data only to answer your request and to schedule a call if needed. Legal basis: your consent when submitting and the steps prior to entering into a contract (Article 6(1)(a) and (b) GDPR). We ask for your phone number because a short call is often quicker than email.
Email. If you email us directly, we keep that email for as long as needed to follow up on your question.
Client file. If you become a client, we keep the data needed for the assignment, the invoicing and our statutory accounting obligations.
Visiting the site. This site sets no cookies of its own. Only after your consent in the banner do we load Google Analytics 4 and the Meta pixel, to measure how many visitors the site attracts and which ads generate requests. If you decline, none of this loads. Cloudflare Web Analytics measures visits without cookies and without personal data. You can read exactly which cookies these are and how long they remain in the cookie statement. Legal basis: your consent (Article 6(1)(a) GDPR), which you can withdraw at any time via the Cookie settings link in the footer.
Who else sees your data
The site is hosted at Cloudflare, which also handles sending the form. A request arrives in the agency's mailbox at a Belgian hosting provider and in the director's mailbox at Google. With your consent, Google (Analytics) and Meta (pixel) receive data about your visit; they also process it in the United States, under the EU-US Data Privacy Framework. The typefaces on the site come from Google Fonts; when they load, Google receives your browser's IP address. We never sell your data and never pass it on to anyone else, unless the law requires it.
A request via hetaibureau.be lands in the shared file of FD96 BV. That way het designbureau, het geobureau and het aibureau can help you without you having to tell your story twice.
How long we keep data
We delete a request that leads nowhere no later than twelve months after the last contact. We keep client data for as long as the collaboration runs and afterwards for as long as accounting law requires, which in Belgium is seven years for invoices.
Your rights
You may access your data, have it corrected or erased, have its processing restricted, withdraw your consent and object. To do so, email hello@hetaibureau.be; we reply within a month. If you are not satisfied, you can lodge a complaint with the Data Protection Authority, Drukpersstraat 35, 1000 Brussels.
Changes
If anything changes in the way we work, we update this statement and put the new date at the top.
